Before the Royal SMIT introduced a digitized solution, the management of customer specifications in RFQ documents and project contracts was a manual and unstructured process. A lot of individual questions were asked to the customers. The answers were in emails but not linked to the specifications.
With a high volume of RFQs this was taking too much expert time and the risk costs per project were high.
To improve its customer experience and to reduce margin slippage, Royal SMIT envisioned a self-learning system like a digital companion which would assist to clarify all customer specifications in sales phase based on a corporate understanding continuously and automatically learned from the experts in project execution.

Royal SMIT wanted to create a corporate understanding of what they are compliant to and to learn as an organization from project execution.
This was achieved by uploading all quotations and project contracts into DRIM, which acts as a single source of truth. Sales and project execution feedback is seamlessly integrated, expert knowledge is systematically re-used. “Drimming” all quotations and contracts allows to get a clear view of all non-compliant items. The DRIM AI assists in identifying the high-cost impact items in sales phase already. The AI-based domain assignment saves a lot of time to tell the multiple departments (mechanical, electrical, installation, transportation, …) to their points with the aim of making 100% sure that all specification items have been reviewed and verified. The various compare functionalities allow to quickly assess differences among projects.
The systematic and AI assisted approach helps to have all deviations clarified during sales phase and every requirement fulfilled in project execution. In the case of underestimated customer requirements, the system helps to create a way to give feedback for future projects.
